To keep your group running smoothly, you can assign members to Roles that give them specific permissions and responsibilities.
Roles
Roles are groups of members with special permissions—like Moderators. Currently, you can have up to 100 Roles in your group, and each member can only have one role at a time.
Group Permissions
These control what people can do at the group level—for example, who can rename the group, create new rooms, or invite others to join.
Room Permissions
These apply to individual rooms (or channels). You can decide who can post messages, pin content, or manage activity in each room. Room permissions are often used to create read-only rooms for things like announcements.
Group permissions
Group permissions let you choose who can:
- Edit group info/profile - members with this permission can change the group name, description, theme color, rules, welcome message, and New Member Survey ("Question Gate")
- Manage rooms - members with this permission can edit and delete rooms, and manage Room organization and categories
- Create rooms - members with this permission can add new rooms to this group
- Create secret rooms - members with this permission can create and manage their own secret rooms (secret rooms are only visible to members of the group who’ve been specifically invited to them; other members of the group won’t even see that they exist)
- Create locked rooms - members with this permission can create and manage their own locked rooms (everyone in the group can see that locked rooms exist within a group, but people have to request to join them)
- Start broadcasts - members with this permission can start live broadcasts in Broadcast Rooms in the group
- Share screens - members with this permission can share their screen in video rooms
- Manage members - members with this permission can approve, remove, ban, and unban people from the group
- Invite new members - members with this permission can invite new members to the Group. This helps you maintain control over membership. If “approval required to join” is enabled, any members invited under this permission must still be approved by someone with the “Manage users” permission before they can join
- Manage sub-groups - members with this permission can create and manage sub-groups
- Notify everyone / mention @room - members with this permission can mention everyone using @room and can ping everyone in audio and video rooms
- Pin and unpin messages - members with this permission can pin and unpin messages in the group
- Moderate or Delete messages - members with this permission can delete messages sent by other people
- Edit or manage roles and permissions - members with this permission can edit roles and permissions—this is a serious permission, so choose wisely!
Editing the default role and adding new roles
To edit the default permissions:
- From the group view, tap the three-dot menu in the top-right corner to open the Group Settings menu
- Tap ‘Roles & permissions’
- Tap the ‘Default’ section and adjust the settings as needed (when new members join, this is the role they’ll automatically be assigned to)
To add or manage other roles:
- To add a new role (e.g. Exec Board, Admins, Leadership Team, or Mods), tap ‘Add new role’, enter a name, and Save
- Tap the new role’s card, then:
- Tap ‘Set permissions’ to adjust what members in this role can do
- Tap ‘Add members’ to assign people to the role
- To edit a role’s name or delete a role, tap the role’s name in the list, then tap ‘Edit’ in the top-right corner
Note: If you delete a role, any members in that role will automatically move back to the Default role.
Room Permissions
Room permissions give you more detailed control over what members can do in each specific room. These settings override group permissions. For example, if a role has permission to pin and unpin messages at the group level, but you disable that permission in a particular room, members with that role won’t be able to pin messages in that room—but they’ll still be able to in others.
💡 Tip: A popular use of room permissions is to create a read-only room (e.g. Announcements) that everyone can view, but only selected members can post or write in.
Chat Room permissions let you choose who can:
- Send messages
- Send replies
- Pin and unpin messages
- Mention @room
- Delete messages
Post Room permissions let you choose who can:
- Create posts
- Send replies
- Mention @room
- Delete posts & comments
- Pin and unpin messages
Setting up room permissions
On the app:
- Tap the room you want to edit
- Tap the room name at the top of the screen to open the dropdown menu
- Select ‘Roles & Permissions’ from the menu
- To update room permissions for the default role, tap the Default Role card, then adjust the permissions for that room
- To set room permissions for a specific role, tap ‘Add permissions for a role’, then choose an existing role
Note: All roles are created at the group level. You’ll need to create a role there before you can assign it room-specific permissions.
